Privacy policy

1. Who we are
Budget Pro is shop management software — the website, the web app and the Android phone app — provided by [Company legal name], a company registered in Uganda (registration number [number]), of [physical address, Kampala] (“we”, “us”). We are registered with the Personal Data Protection Office as [PDPO registration number].
This policy explains how we handle personal information under the Data Protection and Privacy Act, 2019 of Uganda and its regulations. If you have a question, contact our data protection officer at [privacy@yourdomain].
2. What we collect
When you create a shop or are added to one
- Your name, phone number and/or email address, and a password (which we store only as a one-way hash we cannot read).
- Your shop's name, type of business, currency, country, address and settings.
- Your role in the shop and a record of when you sign in.
What you record while using Budget Pro
- Products, prices, stock, sales, receipts, payments, returns, expenses, suppliers and customers — the records of your business.
- Who in your shop made each sale or change, and when.
From your devices
- For the phone app: a device name and identifier, the app version, and sync status, so we can keep your phones in step and let you remove one.
- Technical logs such as IP address, browser type and error reports, used to keep the service running and secure.
Payments for your subscription
Subscription payments are processed by our payment provider. We receive the result (amount, method, reference and status); we do not receive or store card numbers or mobile money PINs.
When you contact us
What you write in the contact form or send us by email or WhatsApp, and the details you give us to reply.
3. Your customers' details
When you record your own customers, suppliers or staff in Budget Pro (for example a customer's name and phone number for a credit sale or a WhatsApp receipt), you decide what is collected and why, and we process it on your behalf and only on your instructions. You are responsible for having a lawful reason to keep that information and, where required, your customers' permission to message them. We do not use your customers' details for our own purposes and never contact them except to deliver the receipts, reminders and messages you or your settings ask us to send.
4. How we use it
- To provide Budget Pro: sign you in, store and sync your shop's records, and produce your reports.
- To send messages you ask for — receipts, debt reminders, daily summaries, stock alerts, sign-in codes — by WhatsApp, SMS or email.
- To tell you about your account: your trial, your plan, payments and important changes.
- To keep the service secure, prevent abuse, fix problems and make backups.
- To answer your questions and give support.
- To meet legal obligations, such as keeping payment records.
We do not sell personal information, and we do not use your shop's records to advertise to you or anyone else.
5. Who we share it with
Only with the service providers we need to run Budget Pro, each bound to protect it and use it only for us:
- Our hosting provider, where the servers and backups are kept: [hosting provider and country].
- Messaging providers that deliver WhatsApp messages, SMS and email you ask us to send (for example Meta's WhatsApp Business service and an SMS gateway such as Africa's Talking).
- Our payment provider, to take subscription payments by mobile money or card.
- Authorities, only when the law requires it.
Some of these providers may process information outside Uganda. Where they do, we take the steps the Act requires to make sure it is equally protected.
6. How long we keep it
- Your shop's records are kept for as long as your shop has an account with us — including on the Free plan, and when a payment is late.
- If the owner closes the shop, there is a 30-day period to change your mind; after that every record of that shop is deleted. Copies in backups disappear as the backups rotate.
- Data exports you download are removed from our servers after 7 days.
- Contact-form messages are kept for as long as we need to answer them and keep a record of the conversation.
7. How we protect it
Every shop's records are kept separate, backed up every night, and protected by staff roles, hashed passwords and encrypted connections. Our security page explains exactly how. No system is perfectly secure; if we ever learn of a breach that affects your information, we will tell you and the Personal Data Protection Office as the law requires.
8. Your rights
Under the Data Protection and Privacy Act, 2019 you may:
- ask what personal information we hold about you and get a copy;
- ask us to correct information that is wrong or incomplete;
- ask us to delete it, or to stop or limit using it, where the law allows;
- object to direct marketing at any time;
- complain to the Personal Data Protection Office if you are not happy with how we handled your request.
Much of this you can do yourself: edit your details in your shop, export your records, or close your shop from the settings. For anything else, contact [privacy@yourdomain]. If you are a customer of a shop that uses Budget Pro, please contact that shop first — they decide what is kept about you.
9. Cookies
We use only the cookies needed to run the website: one that keeps you signed in, and one that protects forms against forgery. We do not use advertising or tracking cookies. The website loads its typeface from Google Fonts, which receives your IP address when a page is opened.
10. Changes and contact
If we change this policy in a way that matters, we will tell shop owners by email, SMS or a notice in the app before the change takes effect. The date at the top shows when it last changed.
